Historical Background

The Team office of the Billy Graham Evangelistic Association in Minneapolis was the center from which crusades for Graham and the associate evangelists were scheduled and coordinated, except for 1964-1976 when it was based in Atlanta. The chief administrator of the office was Walter Smyth, the Vice President in charge of Crusade Organization and Team Activities (see BGC Archives collection 17). His executive assistant, who also served as office manager, had varied duties. He was supervisor of the stenographic pool at the office, handled initial correspondence from pastors who wanted an evangelist or musician or speaker to hold a crusade or appear at their church, helped Walter Smyth handle Team personnel matters, and helped crusade associates and crusade directors for particular crusades with the ordering of supplies, printing, etc. Forrest Layman was especially involved in the setting up of the 1965 Houston Crusade.

After the Atlanta office was opened in 1964, responsibility for crusade and Team activities was moved there from the BGEA Minneapolis office. Robert Root, who was already executive assistant, became office manager. He was followed in 1965 by Forrest Layman who was followed by Don Bailey in 1969.

Scope and Content

Most of the records in this collection relate to the work of the Executive Assistant and Office Manager, although there are several files about crusades held in 1962, 1963, and 1964 which deal with Robert Root's work in follow-up and which became combined with his office manager files. The files relating to the Executive Assistant's work show how he handled correspondence with pastors wishing to sponsor a crusade; took care of arrangements such as schedules, accommodations, etc. for evangelism team members; kept in touch with crusades occurring across the country; helped the crusade directors with various problems that came; and filed financial records and statistics from important meetings.

The organization of these records in this collection is partly the original order and partly the creation of the archivist. Duplicates were removed and disposed of at the request of the BGEA. The files of Bob Root and Forrest Layman were combined since they had the same title and performed the same function. The files on Don Bailey, added in 1998, followed the original arrangement of the collection and were integrated into the Container List to correspond to that arrangement. The collection is subdivided into five series:

Notes: These files relate to invitations extended by U.S. or Canadian communities to the BGEA for associate evangelists to conduct evangelistic meetings. While most of the remainder of the crusade-related files in Collection 12 document meetings which were held, this series is limited to those invitations which were declined; also see the Single Church series, which contains a few files of meetings which were canceled. Among the evangelists invited were Lane Adams, David Barr, Ralph Bell, Joe Blinco, Wesley Boyd, Leighton Ford, Roy Gustafson, Akbar Abdul Haqq, Howard Jones, Jimmie McDonald, Stan Mooneyham, the BGEA music team, John Wesley White and Grady Wilson.

Correspondents: Executive Assistants' correspondence with BGEA Team members, businesses, pastors, etc. The early yearly subseries contain files corresponding to more BGEA staff and others, while the later files are less comprehensive. The individuals referenced in the files for 1964 and 1965 are very similar to those for 1966, 1967 and 1968, for which this guide includes a folder-level of detailed description. Beginning in 1969 and continuing through 1975, the files are fewer in number, corresponding only to some of the BGEA evangelists and administrators (Joel Aarsvold, Lane Adams, Don Bailey, Cliff Barrows, L. Nelson Bell, Ralph Bell, Barry Berryman, Mary Lou Bohnsack, Allan Emery, Robert and Lois Ferm, Leighton Ford, Billy Graham, Willis Haymaker, Henry Holley, Sterling Huston, Howard Jones, Esther LaDow, Forrest Layman, Jim Matthis, Eva Prior, Jerry Schochenmaier, George Beverly Shea, Walter Smyth, Harvey Thomas, Charles Ward, Stephanie Wills, George Wilson, Grady Wilson, T.W. Wilson, Sherwood Wirt). The 1970 subseries appears to be missing the later half of the alphabetical arrangement.
Notes: Most of the annual subseries also includes a World Wide Pictures file and a Staff Memos folder. The yearly subseries into which this series was divided contain only a few documents which fall outside the corresponding year, and in the vast majority of those cases, it is overlap with the previous year.
Exceptional items: Of special interest are Forrest Layman's files of his correspondence with Walter Smyth, such as folders 3-47 and 5-8, which give an idea of the personnel policies of the BGEA, and the analyses of crusade follow-up procedures contained in folder 2-59.

Notes: The files from the Houston Crusade of 1965 are especially numerous since Forrest Layman was more deeply involved than usual in setting it up. Although the file headings for each crusade vary somewhat, there remains a common core which are largely consistent throughout: Counseling & Follow-up, Crusade Office, Executive Committee, Finances, Materials, News Media, Personnel & Guests, School of Evangelism, and Statistics.
Exceptional items: Of special interest is the evaluation booklet in folder 6-69 of the program begun in 1962 of having special classes during a crusade for the training of seminary students in mass evangelism, which later evolved into the Schools of Evangelism; and the transcripts crusade sermons, such as those in folder 15-46 of Billy Graham's sermons during the 1968 San Antonio Crusade. Folder 20-11 documents the 1975 Conference on Indian Evangelism and Christian Leadership held in conjunction with the Albuquerque Crusade.

Notes: The documents in this series are the least uniform and it isn't clear how they fit into the administrative records of the Executive Assistant; public relations files may document the beginning Don Bailey's supervision of the BGEA's Media/Public Relations division, which he formally began in 1977.
Exceptional items: Transcribed excerpts are available for Billy Graham's evangelistic messages from the following crusades: 1972 (folder 23-22) Northern Ohio, Alabama and Charlotte; 1973 (folder 23-21) Korea, Atlanta, Minneapolis-St. Paul, Central Carolina, and St. Louis; 1974 (folder 23-20) Arizona; 1975 (folder 23-19) Albuquerque, West Texas; 1976 (folder 23-18) San Diego, National Cathedral in Washington, D.C.; and 1977 (folder 23-17) West Carolina Crusade. Also included is a file (folder 23-23) containing Billy Graham's remarks at the time of the 1976 presidential election, the announcement of the establishment of the Billy Graham Center, about Catholics, the resignation of Richard Nixon, on homosexuality, the Internal Revenue Service, the film The Exorcist, the Vietnam War, treatment of rapists, the school prayer amendment, Watergate (see also folder 23-25), and the rock musical Jesus Christ Superstar; the essay "The Necessity for Black Theology" authored by Alphaeus Zulu, a South African church leader is also among these. Folder 23-24 contains the manuscript of Graham's article "The Message of the Christmas Angels" for Family Circle Magazine. Folders 23-30 through 23-46 correspond to events in which Billy Graham participated or spoke; several of these files contain messages he gave, including his 1975 speeches to the Overseas Press Club (folder 23-31) and American Bar Association (folder 23-33), his address in 1974 to the American Bankers Association (folder 23-37), his 1974 lecture as part of the Landon Lecture Series at Kansas State University (folder 23-41), his address at the White House in late-1973 during the Watergate crisis (folder 23-43), and his comments at the funeral of Lyndon Baines Johnson in early 1973 (folder 23-47). Among the folders 23-63 through 23-66 are the manuscript for a book by Howard Jones, "Question and Answer Book on the Race Problem," manuscripts for Rev. Calvin Thielman's sermons (Thielman was pastor of Montreat Presbyterian Church and a close associate of the BGEA there), and the manuscript for John Wesley White's book, Future Hope. The television broadcast files include program notes and outlines, message and announcement texts, reports, and sermon texts from Billy Graham's 1979 Atlantic Crusade in Nova Scotia and Nashville Central South Crusade.
